My Landlord Safeguarding System
I have developed a system that has proved its effectiveness over the years that has safeguarded both me as a landlord, and my tenants, and is used to monitor every detail of steps taken in order to provide evidence if anyone should question your professionalism. It comprises three main areas:
Property Knowledge Base
The Property Knowledge Base is the heart of the system and is built up following a thorough survey of every critical component of your property including the utilities and appliances.
It enables me to support you in managing your property successfully, by populating your dedicated Landlord Dashboard as well as the Tenant Guide App and Website. It also enables the creation of a Property User Manual for use by maintenance contractors and yourself, a Tenants’ User Manual, Fire Documentation, Property Certificates and a Tenant’s Welcome Document. The knowledge base is updated on a regular basis.
Tenant App & Website
Your tenants can use our Tenant Guide app and website, customised to your property, that outlines the House Rules*, the property’s safety information, and allows them to report any kind of problem. *I have developed a comprehensive series of House Rules that have stood the test of time, that can be customised to the standards of behaviour your tenants sign up to.
It also gives them instructions on how to overcome basic appliance and utility faults, and Health & Safety compliance documentation.
I also offer a point of contact to your tenants and respond promptly when problems arise.
Landlord's Dashboard
The Landlord’s Dashboard, customised to your specific property and tenants, gives you a complete view of all aspects of the management of your property.
It includes repairs progress, tenant management tasks and HMO licensing compliance tasks, and employs a simple red-amber-green priority method.
The tenant management section includes administration email templates, tenant information, new tenant documentation and check-in tasks, whilst the compliance section lists all the necessary tests, inspections, documentation and checks as well as their upcoming dates.
